Day 1
Arrivals in waves
Delegates land across the day in managed waves, counters at the airport, coach shuttles on loop, express check-in with pre-assigned rooming. Evening welcome reception with registration completed in the lobby, not a queue.
Day 2
The plenary day
Full-house plenary with staging, AV, and simultaneous relay if needed. Working lunch, afternoon keynote blocks, and a partner-networking dinner across town with the transport fleet on schedule.
Day 3
Breakouts and the gala
Morning breakout tracks across parallel halls, branded and staffed. Afternoon at leisure or optional city tours. Evening: the desert gala, dunes, entertainment, and the awards segment delegates photograph.
Day 4
Business, then breathe
Closing session and commitments before lunch. Free afternoon, souk, marina, or golf blocks by sign-up. Farewell dinner with next-edition teaser.
Day 5
Departures, handled
Checkout waves matched to flight manifests, late-checkout holds for evening flyers, and a lost-and-found desk that actually answers. Post-event report lands within ten days.

How early should we block a venue?
For 300+ delegates internationally, 4–8 months, convention-hotel inventory in Dubai and Singapore fills two seasons out for peak windows. Domestic venues can be held on shorter cycles.
Delegates fly from fifteen cities. Who coordinates that?
We do, airfare blocks per metro, a consolidated manifest, and arrival waves at the destination. Your delegates get a personal itinerary; your team gets one dashboard.
Can you run just the travel, with our event agency doing the show?
Yes, though most clients consolidate after one edition, a single operator removes the coordination seams. We'll work either way and contract the scope explicitly.
What if the headcount changes after booking?
Attrition clauses are negotiated into every venue and airline block upfront, typically a percentage releasable by a named date. You'll know the exact flex before you sign anything internally.
What does on-site staffing look like?
A control room from day minus-one, a program director, and floor staff scaled to roughly one per fifty delegates, plus the 24×7 delegate WhatsApp desk.
How is a MICE program invoiced?
GST-compliant invoicing in the company's name with a per-delegate line-item build-up, milestone payment terms, and a post-event reconciliation your finance team can audit.
